As our Annual Meeting in Baltimore this November draws nearer, our members’ health and safety remain our central concern. AAA staff and leadership continue to carefully monitor national, state, and local public health guidelines, as well as epidemiological conditions in preparing for the meeting. We are preparing for an in-person meeting with virtual participation options. However, if a significant deterioration in public health conditions occurs, we are prepared to change our plans.

We are strongly recommending that people who plan to attend in-person be fully vaccinated prior to travel this fall. We will also require the use of masks in public indoor spaces, and ample supplies of extra masks will be on hand. If we do not see a substantial improvement in the national incidence of new COVID-19 cases, we may institute a requirement that in-person participants be fully vaccinated.

  • We are working with the hotel and convention center facility managers to plan additional on-site protocols including, but not limited to space planning, food and beverage service, and hand-sanitizing stations.
  • If you register for in-person participation and change your plans to participate virtually instead, you may do so up until November 1.
    • You will be offered a refund of the difference in registration rates.
    • If you change your plans and you are a presenter, we will do everything we can to accommodate the change in your presentation from in-person to virtual.
  • Hotel reservations booked within our block can be cancelled at no charge through our block up until our booking deadline (October 28). After that, cancellation can be made up to four days prior to your scheduled check-in by doing so directly with the hotel at no fee as well.

Our evaluation of the situation will continue right up to and through the Annual Meeting and we’ll be in regular communication with updates.

We want to express our concern for our members and colleagues in the potentially affected areas as we monitor Hurricane Milton. As we approach our Annual Meeting scheduled for November 20-23, we will keep you updated on any developments and how they may impact our plans in Tampa. In the meantime, we hope everyone stays safe and takes the necessary precautions.
